HOTEL POLICIES

You may be required to present valid government-issued identification at check-in,  Special request may depend on hotel's availability at check-in and may cost extra fee. Special request availability is not guaranteed. Hotel may charge you additional fee for each extra person after reserved room's maximum capacity.
The Hotel offers safe keeping facilities at a central location accessed 24 hours for guest valuables.

TERMS AND CONDITIONS

  1. All tariffs quoted include current government taxes. The Clarion Hotel reserves the right to amend the quoted tariffs should there be any change in the percentage rate of VAT or other statutory levy, tax, or impost becoming payable by The Clarion Hotel after date of publishing of this contract.
  2. There is a surcharge for room service of Kshs. 200/= (USD3) (Except for clients with medical/physical challenges)
  3. Children’s rate: Under 3 years, accommodated free if sharing room with one or two full paying adults, subject to availability of family rooms (maximum two children), Children between 4-12 years sharing with Adults pays 50%, while those in own room pays 75% adult rate and over 13 years pay full adult rate.
  4. Tour operators and corporate firms should confirm the validity of their contracts. Contracts are renewed each year hence the need to verify.
  5. Bona Fide Tour Leader Discount:
    Accommodation BB Only (Based on tour leader in single occupancy accommodation)
    05-10 Rooms              50% discount for one tour leader
    10 - 20 Rooms            100% discount for one tour leader
    Over 21 Rooms           100% discount for two tour leaders
  6. Final rooming list is required by the hotel 5 days prior to group’s arrival.

RESERVATIONS & PAYMENTS

  1. Agents with signed AND VALID contracts are eligible to apply corporate rates in section 3 & 4.
  2. Agents without valid contract rates are eligible to a 10% commission on rack rates.
  3. Reservations and bookings confirmations shall be considered valid if communicated via email from an authorized officer or where needed, a purchase order may be issued.
  4. Unless where special arrangements has been made with The Hotel Management, accommodation charges for walk-ins and clients without approved  or valid credit facilities arrangements are payable in full for the entire stay at the time of checking-in.
  5. Once a deposit has been made, proof of payment must be faxed or mailed to Reservations office prior to check in for proper accounting and allocation.
  6. Clients on prepaid accounts should confirm the details on checking-in for verification to avoid delays at departure time.
  7. The guests or agents who wish to pay via a credit card, the PayPal module on the website could be used. All other credit card payments should be transacted at the hotel where the card will be swiped. Only MasterCard and Visa cards are currently accepted for payments. For other cards, guests are advised to clarify with the finance department. Other local payment modules such as Mpesa and debit cards are available.
  8. Payments in full will be made on checkout, except where monthly credit facilities has been applied for and approved by the finance director.
  9. Failure to comply with the terms of payment will result in all bookings being automatically cancelled.

GROUP CANCELLATIONS / AMENDMENTS

  1. All cancellations must be given in writing/email to the Reservations Office.
  2. Confirmed bookings’ cancellations within 48 hours before arrival will not be subject to a cancellation fee.
  3. Rooms reserved without confirmation documents such as letter, voucher, email or down payments will be held till 6.00 pm on the day of arrival and released for sale unless the same has been requested as late arrival.  
  4. Last minute cancellations/no shows for confirmed bookings will be charged in full for the first night and thereafter unused rooms released for resale.
  5. In the event that the hotel(vendor) is unable to accommodate entire booking for which a prior reservations has been made and confirmed, the Hotel (vendor) will outsource appropriate accommodation of the same standard or higher to accommodate guests who misses the rooms. However the agent shall be notified of this decision.
